The 10 Questions to Ask a Sunglass Gifting Vendor Before Signing

The vendor-vetting checklist for on-site sunglass gifting: ten questions that separate a true turnkey activation from a table of sunglasses, and what a good answer to each one sounds like.

Most sunglass gifting vendors sound identical on a discovery call: designer brands, white-glove service, happy guests. The differences — the ones that decide whether your event gets a memorable activation or an expensive table — live in the operational details nobody volunteers. These ten questions surface them. Ask every vendor all ten, in writing, and the comparison makes itself. (This pairs with our broader gifting company evaluation checklist and the procurement vetting guide.)

1. Are you an authorized retailer for every brand you carry?

The foundation question. Only an authorized retailer can guarantee every pair is genuine and carries the manufacturer's warranty. If the answer includes the word "distributor" or any hedging, your executives may be handing out gray-market product with no warranty behind it.

2. How many styles will actually be at my event — and from how large a catalog?

Two numbers, and both matter. The on-site collection should be curated (15–30 styles is the range that keeps choice exciting instead of paralyzing), but it should be curated from a deep catalog — Ninety Six Shades curates from 1,000+ designer styles — so the collection is built for your audience, not whatever's in the vendor's warehouse. The difference shows up in single-brand vs. multi-brand gifting.

3. Who staffs the event, and what does staffing cost?

An activation is only as good as the people running fittings. Ask whether staff are trained eyewear specialists or temp labor, and whether staffing is a line item. (Ours are professional style specialists, included at no additional cost — hosts cover travel and accommodations.)

4. What happens to unused inventory?

The quiet budget killer. Some vendors require you to purchase a fixed quantity up front — attendance shortfalls become your loss. The better model: the full collection travels to your event, guests choose, and you pay only for what's selected.

5. What can guests do if they change their mind after the event?

The gift isn't over when the event ends. If a guest gets home and wishes they'd picked the other frame, is that their problem or the vendor's? Our answer is the Perfect Pair Program: 30 days of unlimited exchanges with free shipping. Ask every vendor for their equivalent, in writing.

6. What's the footprint, setup time, and power requirement?

Concrete answers only: square footage, minutes, outlets. A vendor who can't answer instantly hasn't done many events. (Standard sunglass bar: 10x10 feet, 60–90 minutes up, 30–45 minutes down, no electricity required for the basic setup.)

7. How many guests per hour can one station serve?

Throughput is the difference between a highlight and a bottleneck. A properly staffed station should serve 50–100 guests per hour, with additional stations — not longer lines — as the scaling plan. Every planner who's had a 40-minute line at a gifting table asks this question the second time. See the six bottlenecks that kill large-event gifting.

8. What customization and branding is available?

Branded displays, custom packaging, co-branded inserts, engraving, monogrammed cases, branded cleaning cloths — ask for the full menu and what's included versus added. The gift should carry your event home with it.

9. What are your minimums, and what's not in this quote?

Hidden fees live in shipping, insurance, teardown, and "service charges." Ask for the all-in number and the minimum commitment. (We work from groups of 10 to multi-thousand-person programs — no hard minimums.)

10. Which named clients can I talk to?

Logos on a website are marketing; a reference call is evidence. Ask for a client who ran an event your size. Our case studies include Hilton, Live Nation Premium, CDK Global, and Dairy Farmers of America — and we'll happily connect you.
